Herons Wey Treasurer
Time commitment: average 2 hours per week
The Herons Wey Treasurer role is part of the Herons Wey Management Committee and the Treasurer would advise the lead volunteer and site management committee on financial matters.
The Herons Wey Treasurer is accountable to the Herons Wey Lead Volunteer (Janet Cowley).
The treasurer would have day to day responsibility for the accounts in Xero and the bank accounts (CAF). This includes:
- Setting up the payments in CAF according to the Xero Bills to Pay Report, and ensuring payments are released by a second signatory.
- Ensuring the current account balance is sufficient to cover direct debit payments.
- Managing transfers between accounts.
- Reconciling the HW bank accounts and HW Cash at least weekly.
- Liaising with the Herons Wey Shop Manager to ensure shop income, cash and banked money is entered into Xero and an annual stock take is undertaken.
- Keeping a watchful eye on things and reporting any concerns.
The Herons Wey Treasurer will assist with budget planning.

The County Treasurer will provide backup/holiday cover to the Heron Wey Treasurer.
The Herons Wey Lead Volunteer (Janet Cowley) is responsible for approving invoices and expenses in Xero with backup from the County Commissioner (Sarah Ings) or Paxmead Lead Volunteer (Annabel Hitchin). The person entering the invoice/expenses into Xero should not be the person approving it, unless the spend has been agreed by the Trustees.
Control of transfers between the deposit and current accounts and payments from the current account will be the Herons Wey Treasurers responsibility or delegated to other appropriate backups (i.e. the County or Paxmead Treasurers). In emergency situations with agreement from the Chair of Trustees or County Commissioner the Herons Wey Lead Volunteer may set up payments.
Approval of payments from the Current account is by one of the County Management/Trustee team currently – Sarah Ings, Venetia Cooper (Chair or Trustees) or Nicola Kitney (Assistant County Commissioner).
